Letting for Tenants

By registering your details with Mark Hillier, our aim is to understand your requirements, needs and advise you accordingly to materialise your property search to find the perfect home.

Renting a property can be a stressful process so it’s important that your requirements are accurate and realistic within the budget you have set to enable a stress-free and enjoyable experience.

Please see below some useful guidelines to renting a property before you carry out your search.

Offers

Once you have confirmed an offer with terms (if any) to Mark Hillier you will be requested to complete and return our lettings offer form prior to submitting the offer to the landlord.  We will inform you, as soon as possible, once we have received further instructions from the landlord.

Administration Deposit

Subject to your offer being accepted by the landlord we will then request a holding deposit (1 weeks rent of the property) with Mark Hillier to show commitment.

References

Before the tenants can move into the property we will require the references to pass.  At Mark Hillier we use a company called Veri Check to carry out the references.

Contract

Subject to the references being satisfactory, we will draw up the contract (Assured Shorthold Tenancy Agreement or a Common Law Tenancy Agreement), which will then be sent to you.

Tenancy Fees

Please note that the costs will be covered by the tenants with regards to the following: –

When renting a property, there are various costs that you will need to take into consideration when making an offer.

Assured Shorthold Tenancies

Prior to your Tenancy:

Advance Rent:

As a minimum, the first months’ rent is payable before your tenancy commences.

Tenancy Deposit:

Equivalent of 5 weeks’ rent (if annual rent is less than £50,000) or 6 weeks’ rent (if annual rent is £50,000 or more), payable before your tenancy commences.

During your Tenancy:

Late rental payment. Interest will be charged at 3% per annum over The Bank of England’s Base Rate.

Lost keys or other security devices: The costs of replacing them plus if required, the costs of a locksmith, new lock and replacement keys for anyone requiring keys.

Other Fees that may apply:

Tenancy Swap:

£50.00 (INC. VAT) plus any reasonable costs incurred if higher, will be payable by the tenant subject to the landlords consent and reference approval.

Variation of Contract:

£50.00 (INC. VAT) per variation will be payable by the tenant subject to the landlords consent.

Early Termination of Tenancy:

All landlord’s costs in re-letting the property plus all rent, council tax and utilities due under the tenancy until the start date of the replacement tenancy. The costs will be no more than the maximum amount of rent outstanding on the tenancy.

Common Law and Company/ Non-Housing Act Tenancies:

Prior to your Tenancy: (Payable to Mark Hillier Estate Agents)

– Holding Deposit: 2 week’s rent.
– Security Deposit: 6 week’s rent.
– Pet Deposit: Additional funds (usually equivalent to 2 week’s rent) on top of the Security Deposit.
– Referencing fees: £48 (inc. VAT)
– Company Referencing fee: £60 (inc VAT)
– Administration Fee: £300 (inc. VAT)

During your Tenancy: (Payable to Mark Hillier Estate Agents)

– Renewal Fees: £144 (inc. VAT).
– Payment of interest for late payment of rent: Interest of 4% above the Bank of England Base rate.
– Rental Arrears letter: £18 (inc VAT) per letter.
– Lost keys or other security device: Tenants are liable to the actual cost of replacing any lost keys and security devices. If extra costs are incurred, there will be a charge of £78 per hour (inc. VAT) for time taken.
– Variation of Contract (tenant request): £240 (inc. VAT)
– Change of Sharer (tenant request): £240 (inc. VAT)
– Early termination (tenant request): £300 (inc. VAT) administration charge. Should the tenant wish to leave their tenancy early, they shall be liable to the landlord’s costs in re-letting the property as well as all rent due under the tenancy until the start date of the replacement tenancy. These costs will be no more than the max amount of rent outstanding on the tenancy.
– Inventory check out fee: Cost dependent on the size of the property. Please ask us for more details.
– Professional end of tenancy clean: Cost dependent on the size of the property. Please ask us for more details.
– Utility payments (Gas, electricity, water and council tax) are payable to the provider.
– Communication payments (TV licence, TV/ Satellite, telephone and broadband services) are payable to the provider.
– Any other permitted payments, not included above, under the relevant legislation including contractual damages
